Updating the Employee and Department Phone Directory

Introduction

This document provides detailed instructions on how to update the phone directory for both employees and departments. Keeping the phone directory updated ensures smooth communication within the organization.

Follow the steps below to update phone information for employees and departments:

Updating Employee Phone Information

To update your phone information in the employee directory, follow these steps:

1. Navigate to MyPima:
   • Start by accessing the MyPima portal and logging in using your credentials.
2. Access Employee Self-Service Dashboard:
   • In the portal’s search bar, enter Employee Self Service, then select the Employee Self Service Tool from the list of results.
   • Or navigate directly via the following link: Employee Self-Service Dashboard.
3. Access Your Profile:
   • In the upper-left of the dashboard, click My Profile, and then review your information.
   • Change any of the information displayed by clicking More Personal Information (at the bottom of the box with your name and A number).
4. Update Phone Number or Address:
   • On the Personal Information page, scroll down to the Phone Number or Address section that you need to update.
     • Click + Add New to enter an additional phone number or address.
     • Click the Pencil icon nearest the existing information you want to update.
     • Click the Trash icon nearest the outdated information you want to delete.
   • A new pop-up window appears. Make the necessary changes, ensuring accuracy.
5. Save Changes:
   • Once you’ve added or updated your information, at the bottom of the window, click Add or Update to save the changes.

Updating Department Phone Information

To update phone information for a department, follow the steps below:

1. Submit a Web Systems Request:
   • Submit a request to Update Department Web Directory.
   • The Web Systems team will process your request and update the department phone information in the directory.
