This article provides an overview of the usage and capacity limitations within Google Workspace at Pima Community College. Understanding these constraints for Google Calendar, Gmail, Google Forms, and Google Drive helps ensure reliable communication and data management for all users.

Pima College currently uses the Google Workspace for Education Fundamentals license.
Google Calendar Limits
To manage large events in Google Calendar, follow these guidelines regarding guest capacities:
- Guest List Limit: Users can invite up to 200 individual guests to a single event.
- The Group Workaround: To invite more than 200 people, use a Google Group email address. A single Google Group can contain up to 100,000 members, but only counts as one guest toward the event limit.
- Large Event Feature: For events with more than 200 guests, certain features, such as email notifications for every update or the ability to view the full guest list, may be disabled to improve performance.
Gmail Sending and Recipient Limits
To maintain account security and prevent spam flagging, Gmail enforces the following daily limits:
- Daily Sending Limit: Users can send to a maximum of 2,000 recipients per 24-hour period. Note that one email sent to 10 people counts as 10 recipients toward this total.
- Recipient Limit per Email: A single email can have a maximum of 2,000 total recipients across the To, Cc, and Bcc fields.
- External Recipient Limit: Users are limited to 3,000 external recipients per day to prevent the account from being flagged as a spam relay.
Google Forms Limits
To distribute Google Forms to large audiences, use the following methods to avoid delivery errors:
- Direct Emailing from Forms: The "Send via email" feature within the Forms interface has a soft limit and may error out if users add more than 100 recipients at once.
- For large distributions, the responder link can be copied and shared via email or other mediums.
Google Drive and Shared Drives
Shared Drives have specific capacity and structural limits to ensure stability:
- Shared Drive Item Limit: A single Shared Drive can hold a maximum of 500,000 items, including files, folders, and shortcuts.
- Folder Nesting: Folders can be nested up to 100 levels deep inside a Shared Drive.
- Membership Limit: Users can add up to 600 individuals or groups as members of a single Shared Drive.
Google Meet Limitations
To ensure successful video conferences, follow these guidelines regarding Google Meet constraints:
- Participant Limit: Meetings can host up to 100 participants.
- Meeting Duration: Group meetings have a maximum duration of 24 hours.
- Recording Limits: A single meeting recording can last up to 8 hours. The recording will stop automatically once this limit is reached.
